8 to 9 months out: shape the guest experience
This is the season for guest-facing plans: save-the-dates, hotel blocks, wedding website, transportation, accessibility needs, and broad schedule. If many guests are travelling, give them information early. Include location, date, accommodation options, dress code guidance, registry details if you use one, and any events beyond the ceremony and reception.
Start thinking about rentals, menu style, ceremony flow, music preferences, and wedding party attire. You do not need every detail finalized, but you do need enough direction to avoid rushed decisions later. If you are ordering attire, leave time for shipping, alterations, and unexpected delays.
6 to 7 months out: design and logistics

Confirm menu choices, cake, music must-plays and do-not-plays, ceremony wording, signage, rentals, transportation, and beauty trials. The final week is not the time to redesign the whole event. Confirm arrival times, prepare final tips or thank-you cards if using them, steam attire, gather accessories, rehearse the ceremony, and hand off decor boxes with clear labels. Give the wedding party, family helpers, or coordinator a contact sheet and timeline.
